Suppliers and products

How to manage suppliers and the product catalogue, and how product pricing works.

Procurement holds your suppliers and your product catalogue: the companies you buy from and the items you offer to clients. Neither is visible to clients; when a product reaches a client through a selection, they see its name — or the client name you gave it — plus its photo, price and the label you put on the option, nothing more.

Suppliers

The Suppliers page is a searchable list; search matches names, account references, websites, notes and contact details. Each supplier holds up to five contacts and links through to its products in the catalogue.

Only administrators can use Add supplier or edit and delete one; everyone else can browse.

Deleting a supplier keeps its products in the catalogue; they just lose their supplier link until you point them at another one.

Products

The catalogue filters by search, by category (a tree up to three levels deep) and by supplier. Anyone on the team can use Add product, edit, archive or delete; this is not restricted to administrators.

Archiving hides a product from the catalogue and from selection pickers while keeping it, and it can be restored at any time; Show archived brings archived products back into view. Reserve deleting for products created by mistake.

Client names

Give a product a client name and that’s what your client sees for it in a selection, while your team keeps working with the real name — search finds a product by either. Leave it blank and the client just sees the product name, same as any other.

Change a client name later and it only reaches a selection you’ve already built the next time that selection is saved.

Pricing

A product’s pricing starts from its cost: enter the cost and a margin and the customer price is calculated, or enter the cost and a customer price and the margin is, to the penny. All catalogue prices are entered excluding VAT; VAT is applied later, on contract items and selections.

Bespoke products

A product with Bespoke pricing turned on is made to order, so it has no standing price: the setting clears the prices and the fields go away. Its price is entered where it is actually known, on the option when the product is offered in a selection, and a selection cannot be sent while a bespoke option is unpriced.
