For everyone

Getting started

How your organisation is set up on Navanto, how you invite your team, and how everyone signs in for the first time.

Last updated:

Navanto is set up for your organisation once, and after that everyone joins by invitation. This page covers how the first account is created, how you invite the rest of your team, and what a new person does the first time they sign in.

Your first account

When your organisation joins Navanto, our support team sets up the organisation and your first administrator account. From that account you invite everyone else; nobody signs themselves up.

Inviting your team

Administrators add team members under Settings, on the Organisation page. Enter the person’s name and email address and choose their role. Navanto emails them an invitation; there is nothing else for you to send.

Until they sign in and set their own password, they show an amber Pending chip in the users list; open the person and the mail icon re-sends their invitation. The temporary password lasts 7 days, and once someone has signed in there is nothing left to re-send.

Clients are invited separately, per project, from the project’s Client Portal tab. See Setting up the client portal.

Signing in for the first time

The invitation email contains a temporary password. Sign in with your email address and that password, and Navanto asks you to set a password of your own; from then on you use that one.

Re-sending an invitation issues a new temporary password and invalidates the previous one. If someone has two invitation emails, the password in the older one no longer works; they should always use the newest email.

Roles

Everyone you invite holds a role, and the role decides what they can see and do. Navanto starts you with Admin — the people who manage the organisation, its users and its settings, plus a handful of actions elsewhere such as deleting things — and Standard for the day-to-day work of projects. You can add roles of your own and choose per feature what each one sees; see Roles and permissions.

A client user belongs to one project and only ever sees that project’s portal; they never see the rest of your organisation’s work.

Your account

The Account page under Settings holds your personal details and a change-password option, along with log out all sessions, which ends your current session and stops other devices signing back in automatically.

On the Notifications tab, notification preferences are a list of notification types, each with an in-app and an email toggle. Set them the way you want and press Save preferences.
